• Google Transition FAQ

     Based on the comments from the Google Transition Survey, we developed some answers for your Frequently Asked Questions (FAQ).  We will add to this doc as more questions arise.

    Q:  Will there be any opportunities for me to get trained?
    A:  A variety of trainings will be offered between now and the Fall. Also, there has been a PAGE added to the Technology Training and Integration site specifically dedicated to resources for this transition.

    Q:  What happens to email that people sent to my old email account (Outlook) when we move into our gmail?
    A:  Any email that is sent to your old email address will be forwarded automatically to you new gmail account.  This feature will be turned on for many months.

    Q:  Will my login to the district network through my device change next year?
    A:  Yes, you’ll need to use your new district gmail address to log into the network.  Your password will be the same as it currently.

    Q:  Will students have their data migrated to new google drives from their old google drives?
    A:  That depends on the desire of the student.  Students will have a new Google Drive next fall.  We will send information out to the District and families about this access.  Students will have to use Google Takeout to migrate their information from their old drive to their new drive.  This is the same tool that exiting our exiting seniors have been using for several years. We have instructions for this and will be sharing those as well.

    Q:  When you move data from my old google drive (@farmington.k12.mi.us) to my new google drive (@fpsk12.net), what happens if something gets lost?
    A:  We expect that all data/documents will be moved over, with some exceptions (see next question).  In the very unlikely event that something is “lost” you’ll be able to go back into your “old” drive until at least the end of September.  After that time, you’ll be able to get back in to your “old” drive, but you’ll need to submit a ticket to get access.

    Q:  When you move data from my old google drive (@farmington.k12.mi.us) to my new google drive (@fpsk12.net), what happens if something gets lost?

    Q:  Will all of my data/documents automatically be moved from my old google drive (@farmington.k12.mi.us) to my new google drive (@fpsk12.net), is there anything that I have to move by myself?
    A:  Access to your Google account (@farmington.k12.mi.us)  will remain open until September 30. This is to retrieve data from the following applications; Team Drives, Google Classrooms, Google (New) Sites, YouTube and Google Photos. These applications require attention from each user in order to migrate into their new Google account. To help in this transition, we will provide brief tutorials which will be listed in the email you’ll receive from Oakland Schools IT Service Desk on June 8th.

    Q:  I would like to get Google Certified and help train staff.  How do I do this?
    A:  We would LOVE for peer-to-peer training to occur!  You do NOT need to be Google Certified to do this. If you are interested in offering a training to your staff and/or the district, please CONTACT Elyse Jahnke and/or Patrick Gregory.  However, if you would like to work towards your Google certification, HERE is some information.

    Q:  Google does not seem to have the advanced features of Microsoft Office that I need for my specific role.  How will the district support me with this?
    A:  We’ve found that Google’s productivity suite, G Suite, carries the features that the majority of users need. In addition, the integration across all apps and the ability to use add-on’s makes the experience even richer. We realize, in some cases, more specific features from Microsoft Office may be needed. We are currently investigating the potential use of Microsoft Office 365, which is the web-based Microsoft Office suite of applications.  While our main suite of applications will remain G Suite, this may provide some added functionality desired by our staff.

    Q:  Will my H-Drive and S-Drive disappear?
    A:  Not at this time! However, we recommend using Google Drive for a better experience and unlimited storage. Like the look of your H Drive but want the convenience and accessibility of Google Drive? Then try the Drive File Stream app that’s already installed on your computer. Learn how HERE!

    Q:  How do I transfer my H-Drive to my Google Drive?
    A:  See STEP-BY-STEP DIRECTIONS and/or this VIDEO tutorial.  

    Q:  What types of files can I store in my Google Drive? How much storage do I have?
    A:  You can store any file type in your Drive and, as an educator, you are given unlimited storage.

    Q:  How do I convert other files to G Suite Application file types?
    A:  No conversion is needed. Simply open the file in the appropriate Google App and get to work. Need a copy of the file for someone working in Microsoft Office? Simply download the file and it will automatically download in the Word/Excel/Powerpoint file type, even if it was created in Docs/Sheets/Slides. See a tutorial HERE.

    Q:  What will our new email addresses be?
    A:  Staff: firstname.lastname@fpsk12.net (i.e., patrick.gregory@fpsk12.net)

    A: Students: fps+lastname+firstinitial+last 2 digits of student ID (i.e., if my student ID ended in 02, my email would be: fargregoryp02@stu.fpsk12.net

    Q:  What will happen to all the emails sent to my current email address?  Do I need to contact all my professional contacts with my address change?
    A:  All emails sent to your @farmington.k12.mi.us email address will be automatically forwarded to your new address for at least one year. We would recommend updating your email with external contacts and email subscription lists within this time period.

    Q:  Will my Microsoft clipart transfer when opened with Google?

    Q:  Will I still have access to SMART Notebook and all my SMART files?
    A:  Yes! To see how to store your SMART files with Google Drive, click HERE.

    Q:  Will my emails FINALLY be stored longer than 3 months?
    A:  Yes! We are currently determining how long emails will be retained.

    Q:  Will the district now be supporting Google Sites instead of Wikis?
    A:  Yes! As communicated earlier in the school year, Wikispaces is closing:  http://blog.wikispaces.com/ and the subscription for FPS expires June 11, 2018.  Fortunately, Google Sites is a free web domain that will  serve all of your basic classroom website functions. Training was provided to staff on May 21st on how to transfer content to Google Sites!
